What is the TRACES Portal? 

TRACES (TDS Reconciliation Analysis and Correction Enabling System) is a portal that allows taxpayers and deductors to manage TDS transactions online. 

If you are a taxpayer or a deductor, you can use this portal for downloading forms, such as Form 16, 16A, 26AS, etc. Using these forms and other features of the portal, you can verify the available tax credit, file TDS returns, apply for rectification, etc., completely online.

This TRACES portal also allows you to track the TDS payment status, helping you to confirm whether your TDS has been deposited to the right authorities.   

Key Features of the TRACES Portal

Before understanding the detailed TRACES portal registration process, you should be aware of its features that benefit both taxpayers and deductors. Some salient features are mentioned below:

  • It shows summarised user account details via a dashboard for easy access to these accounts.
  • As a taxpayer, you can view the tax credit Form 26AS and download it. Also, you can download forms, such as Form 16B.
  • You can manage your TRACES account easily, verify your TDS certificate, download a TDS compliance report and more. 
  • As a deductor, it provides you with features, such as online TAN registration, TDS filing, TDS refund, etc.

How to Register on TRACES as an Indian Taxpayer?

If you are new to the TRACES portal and want to register on the portal, follow the steps mentioned below to register on the portal:

  • Click on register as a new user to initiate the registration process on TRACES.

  • Select the user type as taxpayer and continue
  • Enter taxpayer details as per PAN like PAN number, Name, DOB and Residential address

  • Enter captcha code and proceed

  • Select any one verification method from aadhaar authentication, Approval at e-filing or Authentication using KYC

  • Select the consent checkbox and proceed

  • An OTP will be received on registered mobile number

  • Enter the OTP received and proceed 
  • A success message displaying the aadhaar authentication is complete.

If your select approval at e-filing and proceed

  • If PAN is not registered at e-filing then you can register it on e-filing website 
  • If registered you will receive a message that your request will be sent to e-filing for approval.

If you select Authentication using KYC and proceed

  • Select the reason for unavailability of aadhaar authentication
  • Select from options “details tds/tcs deposited or tds statement filed”
  • A message pops up indicating the KYC verification is successful.
  • On the next page, select the option for pre-fill communication details 
  • Verify the details and edit if any changes required
  • Enter the OTP received on your registered mobile number to verify
  • Next enter a password and re-enter the password to confirm 
  • Click on submit

The TRACES registration process is complete, you will receive a confirmation message with user ID and transaction ID.

Process of TRACES Registration in the Case of Tax Deductors

If you are a tax deductor, follow the steps shown below and register on the TRACES portal easily:

Click on register as a new user to initiate the registration process on TRACES.

  • Select the user type as Deductor and continue
  • Enter deductor details as per TAN like TAN number, Name, category, etc.
  • Enter captcha code and proceed 
  • Select any one verification method from Approval at e-filing or Authentication using KYC

If you select Approval at e-filing and proceed

  • If PAN is not registered at e-filing then you can register it on e-filing website 
  • If registered you will receive a message that your request will be sent to e-filing for approval.

If you select Authentication using KYC and proceed

  • Enter statement, challan and deductee details required 
  • A message pops up indicating the KYC verification is successful.
  • Now you will be directed to the communication detail page
  • Choose an option from TAN master or latest filed TDS/ TCS statement
  • Click on Proceed
  • Now, choose from options resident, non-resident or Non-resident without PAN
  • Enter the required details as per the option selected
  • Next validate the communication details and submit
  • Enter the OTP received on mail and mobile number to verify
  • Next enter a password and re-enter the password to confirm 
  • Click on submit

The TRACES registration process is complete, you will receive a confirmation message with user ID (TAN) and transaction ID.

Which Sections of a TDS TRACES Account Can a Deductor Access?

If you are a tax deductor and want to learn the TRACES login process, take a look at the sections to access for a successful TDS filing:

  • As a deductor, you can access and download the Form 16 submitted by a taxpayer.
  • Generate justification reports and consolidated files as a deductor.
  • You can do online corrections of TDS files, check the PAN master, etc.
  • As a deductor, this portal lets you validate TDS certificates, check TDS refunds and more. 

How Does the Pay and Account Office Register on the TRACES Portal?

The Pay and Account Office (PAOs) also need the TRACES portal access to manage various TDS-related tasks. As a PAO, before learning the TRACES login steps, take a look at the registration process:

  • Enter (AIN) Account Office Identification Number
  • Enter Captcha Code and proceed
  • Enter the OTP received on your registered mobile number and mail ID to verify and proceed.
  • PAO details will be prefilled from the AIN database
  • Edit details to update any information
  • Add responsible person details
  • Communication details are prefiled from AIN database expect mobile number
  • Add mobile number in contact details
  • Validate the additional details 
  • Next enter a password and re-enter the password to confirm 
  • Click on submit
  • The TRACES registration process is complete, you will receive a confirmation message with user ID (AIN) and transaction ID.l.  

How to login in to the TRACES Portal

After creating a TRACES account, follow these steps below for a successful TRACES login:

  • Visit the official Traces portal.
  • On the homepage, look for an option for ‘Login’ and click on it.
  • Enter your credentials, like your user ID and password, 
  • Click on ‘Login’ to access the TRACES portal. 

Note: Taxpayers need to enter PAN details, tax deductors enter TAN details, while PAOs enter AIN details in the user ID. 

Reasons for Being Unable to Log in to the TRACES Portal

After understanding the TRACES login and password reset steps, you must have an idea of why the portal might restrict a sub-user from logging in. Take a look at the following reasons for clarity:

  • Account Lockout

If you are facing trouble while logging into the TRACES portal, it is because your account has been locked out. It happens when you consecutively sign in to your account with the wrong user ID or password 5 times in a day. However, wait for an hour and try again with the correct credentials to sign in.

  • Account Disabled or Deleted

Apart from login attempts with wrong credentials, you might face this issue due to account deletion. If you do not sign into your TRACES account for two consecutive quarters, the portal automatically disables or deletes your account. In such scenarios, you must create a new account.

How to Reset the TRACES Login Password?

  • Visit the official TRACES portal 
  • Click on ‘Login’ 
  • Click on an option called ‘Forgot Password’ to continue.
  • Enter User ID and captcha code
  • Click on proceed
  • You can either answer the security question for option 1 or fill out the details of Form 16, 16A or 26AS for option 2. For the third option, provide self-assessment tax or advance tax details. 
  • Enter the new password you want to set and confirm it by typing the same again and submit. 
  • The portal will show a notification stating a successful password reset.
